Pre-Suit Case Manager

Our office is hiring a case manager to assist our clients with pre-suit personal injury claims. We practice mostly in Florida state courts, but also have cases in Georgia and Federal court. Successful candidates will be responsible for handling claims from inception to settlement. The position entails extensive contact with clients, insurance adjusters and medical providers.

Duties & Responsibilities:

Work with highly skilled and passionate lawyers while:

  • Opening new files.
  • Gathering and analyzing intake information and relevant documents.
  • Fully investigating each case with a team of professionals.
  • Maintain contact with clients on regular basis.
  • Verify insurance coverage and maintain contact with insurance company.
  • Assist clients with medical care management.
  • Explain procedures or forms to clients.
  • Prepare documents and correspondence such as demand letters, billing inquiries, etc.
  • Draft settlement demand packages.
  • Relay settlement negotiation from attorney to clients and adjusters utilizing demands/offers in Trial Works.
  • Collect documentation of all damages sustained such as medical records, bills and loss of income.
  • Read and interpret medical records and reports.
  • Organize and maintain case files.
  • Organize tangible damages utilizing special damages in Trial Works.
  • Diary files using to-do’s in Trial Works so as to work each file at least every 4-5 weeks.

Position Requirements:

  • Must have strong work ethic and be able to work well in a fast paced environment.
  • Must have great people skills as the position requires a great deal of client contact.
  • Must be able to manage multiple tasks and meet deadlines.
  • Must to be able to prioritize work and work under pressure.
  • Must be well organized and detail oriented.
  • Must have computer skills including knowledge of Microsoft Word and legal software. Knowledge of Trial Works is helpful.
  • Knowledge of medical terms and traumatically induced conditions is helpful.
  • Knowledge of insurance coverage types and policies is helpful.
  • Prior experience as bodily injury insurance adjuster highly preferred.

Office Manager/Bookkeeper

The Law Offices of John M. Phillips is a Martindale-Hubbell® AV Preeminent law firm with offices located in Jacksonville, Jacksonville Beach and Brunswick, Georgia. We primarily focus on the various areas of personal injury litigation, but also practice criminal defense and family law.

We are hiring an Office Manager/Bookkeeper for our Jacksonville office.

Required Qualifications:

  • Prior law firm experience.
  • Prior office manager, or related duties, experience.
  • Experience with Microsoft Office, including Outlook, and other software applications, including cloud based applications.
  • Experience with accounting software, such as quickbooks.
  • Experience with social media platforms, including Facebook and Twitter.
  • Reliable transportation required.

Preferred Qualifications:

  • Marketing and/or finance degree, certification, and/or experience.
  • Marketing experience with Google and Facebook advertisements, and other Internet-based marketing mediums.

Responsibilities:

  • Maintains office efficiency by planning and implementing office systems.
  • Assist Senior attorney with payroll, accounting and related functions.
  • Create an environment which promotes high morale and encourages staff productivity, efficiency and motivation.
  • Implements and analyzes firm’s marketing strategy.
  • Direct, manage and oversee the Case Management software system (trialworks).
  • Maintains and assists with firm’s social media presence.
  • Maintains office services by organizing office operations and procedures; preparing invoices; controlling correspondence with vendors and clients regarding financial matters; reviewing and approving supply requisitions; and assigning and monitoring clerical functions.
  • Manage and update electronic and hardcopy client databases, information, and documentation while maintaining a high level of client confidentiality.
  • Designs and implements office policies by establishing standards and procedures; measuring results against standards; and making necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; and identifying trends.

Qualified candidates will demonstrate:

  • Minimum of 5-7 years’ experience as an Office Administrator or senior-level business manager, preferably in a law firm.
  • A Bachelor’s degree is highly preferred, as is an advanced degree.
  • Proven leadership and management skills and a demonstrated ability to successfully implement ideas and positively impact change.
  • Knowledge of basic accounting principles to include budget management required.
  • Strong communication (written and verbal), problem solving, leadership and diplomacy skills to allow for successful interactions with attorneys and staff
  • Composure: cool under pressure, doesn’t become defensive or irritated when times are tough; is considered mature; can be counted on to hold things together during tough times; can handle stress; is not knocked off balance by the unexpected; doesn’t show frustration when resisted or blocked; is a settling influence in a crisis.
  • Strong relationship and team-building skills.
